SEMINAR 2012

It's Official!

 

            In mid-July, Sharon Pierce (EGA VP), Connie Fudge (RMR RD), Tricia Kohlman-Ruiz (event planner), Karen Race (Seminar 2012 Assistant Chairman) and I visited six hotels in the region. We evaluated these hotels in terms of their suitability as the site for Seminar 2012. Previously, we had reviewed numerous hotels, culling them according to available meeting space, dates available, etc.

            Yes, we located a hotel and we were unanimous in our decision. The EGA Executive Board of Directors has approved our choice. Yes, it's fabulous! Yes, you'll love it and so will EGA members throughout the country. It is:

The Hilton Spa and Golf Resort at Buffalo Thunder

Santa Fe, NM

            The hotel offers great meeting space, a wide variety of restaurants, magnificent Native American art, free parking, gorgeous, moderately priced sleeping rooms with balconies, a terrific spa with a significant discount to our members, and so on. In addition, the hotel will provide four FREE shuttles, running on a frequent schedule, into Santa Fe (fifteen minutes away). Needless to say, there's great potential for offering super tours. And the shopping... Perhaps best of all, the seminar dates will be in October.

            We are thrilled with the location and we are thrilled with the potential for having a very successful seminar. Santa Fe is a true destination and will entice many, many members to attend.

            Following this announcement are two important items. One is a list of committee chairmen that we are seeking. This list includes brief descriptions of each committee's responsibilities. You will also find an "Interest Form". We urge you to volunteer. Hosting a national seminar requires many, many hands. I'm sure that you who are reading this are so excited about Seminar 2012 that you can't wait to read below, "How to Submit Your Interest Form".

How to Submit Your Interest Form

1.  Print the form on your printer, fill it out and send it via US Mail to Caela Tyler.

2. Click on the Interest Form link to download the form (it's a Word Document). Fill it out and email it to Caela Tyler.

3. Email Caela Tyler, requesting a form. I will email it to you. You can fill it out and email it back.

2012 SEMINAR COMMITTEE CHAIRMEN

Brief Descriptions of Responsibility

 

Chairman

Responsibility

 

 

Assistant Dean of Faculty

Works with Dean of Faculty; especially assisting with Meet the Teachers event; coordinates and is responsible for Teacher Showcase

Angels

Determines teachers' needs, selects angels, provides angels with all necessary lists and forms, conducts angel meeting, answers questions, etc. during seminar

Banquets

Determines menus, seating (re: protocol), program if needed; does all tickets; plans and provides decorations; responsible for both banquets and regions luncheon

Boutique/Bookstore

Solicits vendors, arranges contracts, as needed - oversees bookstore (unpacking and set-up, sales, and take-down/packing/shipping)

Brochure

Assembles, organizes, and prepares all seminar brochure copy, submits to the graphic designer, and works with the graphic designer re: publication

Door Prizes/Goody Bags

Solicits materials for door prizes and goody bags if needed and organizes/oversees their disbursement

Education Exhibit

Works with national education department chair; plans layout, set-up and take-down of exhibit, provides for all needed identification of items

Equipment/Facility

Coordinates all equipment (AV, etc.) needed for classes, meetings, and special events

Favors/Totes, etc./Seminar Pins

Locates and orders table favors, seminar tote bags and any other promotional sales items, and seminar pins; coordinates distribution and sales

Merchandise Night

Communicates with vendors, plans room layout and assigns tables, oversees set-up, coordinates necessary sales tax collection

Nametags

Responsible for stitched nametag design and creating stitched nametags for faculty, board of directors, and EGA office staff

Publicity/PR/Handbook Ads

Responsible for announcements/ads in publications and publicity/news releases, coordinates "special tokens" given at previous seminar, arranges photography of seminar and writes follow-up article for Needle Arts

Seminar Handbook

Prepares the seminar participants' handbook and arranges for its printing, obtains pertinent additional information (restaurants, maps, etc.)

Seminar Newsletter

Publishes the daily newsletter during seminar and arranges for its distribution

Signs/Class Certificates

Creates all signs needed for seminar (excluding those provided by hotel) and class certificates of completion

Tours

Arranges and obtains contracts for tours and any special evening events, coordinates all tours on tour day(s)

Volunteers

Determines and solicits needed volunteers, maintains master list and schedule
